Privacy Policy
This is the SquadUp Privacy Policy. We wrote it in plain language because we'd rather you actually read it than skim past a wall of legalese. Where we use a defined term ("you," "we," "the Service"), we mean it the obvious way.
Who we are
SquadUp is operated by Pixel Perfect Apps LLC ("Pixel Perfect Apps," "we," "us," or "our"). SquadUp is a sports-crew coordination app — group chat, rosters, waitlists, and game-day coordination for the squads you already play with. You can reach us at contact@pixelperfectapps.com.
What this Policy covers
This Policy covers the information we collect when you use the SquadUp mobile apps (iOS and Android), the SquadUp website at squadup.chat, and any related services we operate (collectively, the "Service"). It explains what we collect, why we collect it, who we share it with, and the choices you have.
Information we collect
Information you give us
- Phone number. SquadUp uses phone-number-based sign-in (one-time codes), so we need your phone number to create and authenticate your account. We do not collect a password — there isn't one.
- Username. A handle you choose to identify yourself inside your squads.
- Squad, channel, game, and chat content. The squads you create or join, the games you schedule, the chats you send, the rosters you build, and the waitlists you manage. This is the substance of how SquadUp works.
- Venue locations. When you attach a venue with coordinates to a game, we store those coordinates so squad members can see where to meet. We do not continuously track your location and we do not collect your real-time GPS position.
- Reports and moderation feedback. If you report another user or a piece of content, we keep a record of the report so our moderation system can act on it.
Information we collect automatically
- Device push tokens. To send you push notifications, we receive a token from your operating system's push notification service and store it against your account.
- Anonymized usage analytics. We collect aggregate analytics to understand how the app is used (which screens are reached, where flows succeed or fail). We do not include your phone number, message content, or other personally identifying details in analytics events. You can opt out of analytics at any time in your in-app notification preferences.
- Crash reports. When the app crashes, we send a stack trace to our error reporting tooling so we can fix it. Our backend strips personally identifying fields from crash payloads before they leave our servers.
Information we do not collect
We deliberately don't collect a number of things you might expect a chat app to collect:
- Your contacts. Contact-matching happens entirely on your device. Phone numbers from your address book are never uploaded to our servers.
- Photos, microphone, or camera content. SquadUp does not currently include media-capture features, so we don't ask for these permissions.
- Payment information. SquadUp does not currently charge for the Service and does not collect payment information.
- Email address. Auth is phone-only. We don't ask for your email and we don't store one.
How we use your information
We use the information we collect to:
- Operate the Service — sign you in, deliver your messages, build your rosters, place you on waitlists, and show you the right venues, schedules, and squads.
- Send notifications about activity that involves you (a roster confirmation, a waitlist promotion, a new squad invite, a chat message).
- Diagnose and fix bugs and crashes.
- Measure aggregate usage so we know which features are working and which need attention.
- Enforce our Terms of Service and respond to abuse reports.
- Communicate with you about the Service itself (substantive product updates, changes to these documents, security notices).
We do not sell your personal information. We do not use your message content to train machine-learning models. We do not show you ads.
Service providers we share data with
To run SquadUp we rely on a small set of third-party service providers. Each of them processes a slice of your data on our behalf, under contract, for a specific purpose. They are not permitted to use your data for their own purposes. The categories of service providers we use include:
- Authentication and session management — to send sign-in codes and maintain your session.
- Chat infrastructure — to deliver messages, store history, and manage channel state.
- Cloud hosting and managed databases — to host our website, API, and store your data.
- Push notification delivery — to deliver notifications to your device.
- Weather data — to show game-day forecasts when a venue is attached to a game.
- Anonymized analytics — to understand aggregate usage patterns.
- Error and crash reporting — to diagnose problems in the app.
- Rate limiting and abuse prevention — to protect the Service.
We will provide more detail about a specific service provider on request — email us at the address below.
We may also disclose your information when we reasonably believe disclosure is required to comply with a valid legal process, to protect the rights, safety, or property of SquadUp or our users, or to investigate fraud or security incidents.
If we are ever involved in a merger, acquisition, or sale of all or part of our business, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
How long we keep your information
- Chat messages, squads, games, rosters. Retained as long as your account exists, until you delete the content or your account.
- Analytics events. 90 days, then aggregated or deleted.
- Crash reports. 30 days, then deleted.
- Account record (phone number, username). Until you ask us to delete it. After deletion, we may retain a minimal record (a hash of the phone number and the deletion timestamp) to honor abuse-related bans and to comply with legal obligations.
Your rights and choices
You can:
- Access your data. Email us at contact@pixelperfectapps.com and we will provide a copy of the personal data we hold about you.
- Correct your data. Username is editable in the app. For other corrections, email us.
- Delete your account. You can request account deletion in the app or by emailing us. Account deletion removes your profile, your authored content, and your association with squads. Some content may persist where another user has copied or quoted it (e.g., a screenshot of a chat).
- Opt out of analytics. Toggle the analytics preference in your in-app notification settings. We will stop sending analytics events from your device.
- Opt out of non-essential notifications. Notification preferences live in the app's settings.
If you are in a jurisdiction with additional privacy rights (for example, the EU, UK, or California), reach out and we will honor those rights to the extent they apply.
Children
SquadUp is not directed to children under 13 and we do not knowingly collect personal information from anyone under 13. The App Store and Play Store age rating for SquadUp is 13+. If you believe a child under 13 has signed up, contact us and we will delete the account.
Security
We protect your information with industry-standard practices: TLS in transit, encryption at rest for our database, restricted access for our team, and short-lived authentication sessions. No system is perfectly secure, but we take this seriously and we will tell you promptly if we discover a breach affecting your data.
International transfers
SquadUp is operated from the United States and our infrastructure runs primarily in the United States. If you use the Service from another country, you consent to the transfer of your information to the United States for processing.
Changes to this Policy
If we change this Policy, we will post the new version at this URL and update the "Last updated" date below. For significant changes, we will also notify you in the app or by another reasonable means before the change takes effect. Your continued use of the Service after a change takes effect means you accept the updated Policy.
